Advancement Associate

OVERVIEW OF POSITION:
The Advancement Associate is a vital member of the Advancement team, responsible for managing general office functions, providing administrative support to the Director of Advancement, and contributing to the planning and execution of the school’s fundraising and community-building events. This role takes the lead in organizing and managing the annual spring gala auction and collaborates closely with the Constituent Events Manager and Special Events Manager on a wide range of events. Additionally, the Advancement Associate works cross-departmentally and partners with parent volunteers to ensure the success of various initiatives that support the school’s mission and community.
JOB DESCRIPTION:
Administrative Support (40%)
- Provides administrative support to the Director of Advancement including correspondence, calendaring, expense management, and other tasks
- Provides administrative and meeting support to the Campbell Hall Advancement Committee
- Orders office supplies for the Advancement Department
- Maintains the ACAL 3rd floor kitchen, including daily upkeep and monthly supply orders
- Coordinates departmental meetings and events
- Supports the Director of Advancement and departmental colleagues in development and production of reports, marketing collateral, and other materials as needed
- Supports the Database Manager with mail sorting and check/envelope scanning
- Provides back-up support to the Database Manager and Associate Annual Giving
- Manager for gift acknowledgement letter printing and circulation
- Provides general campaign and donor stewardship support as needed, including production of invitations, nametags, and gift items
- Makes security and parking arrangements for Advancement guests
- Assists departmental and non-departmental colleagues with scheduling the CH Boardroom
- Participates on the Campbell Hall Emergency Response Team (CHERP) team as assigned
- Fulfills other duties as assigned
Gala Auction Management (20%)
- Coordinates all aspects of the spring gala auctions and opportunity drawings, including item processing, oversight of the online auction platform, item distribution, and year-round support
- Distributes and collects auction forms from the spring gala committee members
- Receives gifted auction items and makes certificates for items as needed
- Keeps careful records of any correspondence, forms, and donations received
- Catalogs forms and items upon receipt
- Photographs all items, writes marketing copy for all items, and inputs both into the digital auction platform
- Generates reports from the auction platform as needed
- Works with the Database Manager to ensure that information in the auction platform is shared with the school database as needed
- Year-round management of the CH VIP parking program including auctioned and non-auctioned parking spaces
General Event Support (40%)
- Supports the event planning and execution work of the Special Events Manager and the Constituent Events Manager, including gathering decor and other event supplies from the school’s off-site storage facility, on-site setup, production, and strike
- Provides administrative support to CH volunteer committees, including
- Grandparents, Bagpiper’s Ball, Merry Mailers, and others as needed
- Supports the CH Parents Association with event communications, check requests, name tags, and supplies
- Prepares and executes mailings, email campaigns, and electronic invitations as needed
- Supports the Constituent Events Manager and the High School Office with the annual Commencement ceremony, including coordination of seating, ticketing, and will call
- Assists the Special Events Manager and Constituent Events Manager with scheduling, calendaring, and campus collaborations
- Handles event RSVPs and general inquiries as needed
- Creates and prints name tags
- Organizes and maintains CH event supplies and inventory, both on-site and in off-site storage
- Provides other administrative support to CH Advancement events as needed, including expense reporting, data entry, and other tasks
REQUIRED QUALIFICATIONS:
- Bachelor’s degree preferred
- 2-years event and/or administrative experience
- Available for night, weekend, and overtime work as required by the event schedule and especially during “peak season” leading up to the spring gala (March, April, May)
- Ability to balance multiple priorities and effectively manage time
- Experience with the Microsoft Office and Google Office suites
- Must be comfortable working in spreadsheets and able to merge data into Word documents
- Ability to learn technology systems, including digital auction platform, through online tutorials and practical application
- Strong customer service orientation
- Excellent organizational skills
- Extreme tact and discretion in handling confidential information
- Appreciation for and understanding of Campbell Hall’s mission and values and an ability to communicate them to external constituencies
- Demonstrated ability to work collaboratively and contribute positively to a team culture
- Some evenings and weekends are required in this role
DESIRED QUALIFICATIONS:
- Knowledge of independent schools, fundraising, and volunteerism
- Experience with fundraising and auction platforms in general, Onecause and Raiser’s Edge in particular
This is a non-exempt role, eligible for overtime after 8 hours per day or 40 hours per week at 1.5 times the designated rate.
