Upper School and Summer Programs Coordinator

This role provides key administrative assistance to the Upper School Deans and Director of Summer Programs, facilitating effective communication and coordination within the school community. We’re looking for someone with exceptional customer service skills to students, parents, faculty, and employees. The ideal candidate will be organized, adaptable, and comfortable managing multiple priorities in a dynamic school environment. This position reports jointly to the Upper School Deans Department Head and the Director of Summer Programs.

As Upper School and Summer Programs Coordinator, you will:
Upper School Responsibilities
• Assist the twelve Upper School Deans in sending documents for the college application process and other student transcript needs
• Assist Dean of Students/US division with scheduling and announcement of US events
• Assist Head of Upper School with scheduling of meetings as necessary
• Provide hiring support for Upper School open positions
• Answer incoming calls and questions from and assist students, parents, faculty, and staff who come to the Upper School office
• Manage catering and SER requests for Upper School campus events as necessary
• Assist Executive Assistant to President and Head of School in support for end-of-year events (Awards Assembly, Commencement, etc.)
• Serve as back-up for all-school communication needs such as the sending of all-school emails
• Interface with college representatives during their visits to meet with students
• Provide support in advance of and during events organized by the Upper School Deans, occasionally in the evening or on weekends
• Develop proficiency with systems (i.e., Didax, Scoir, College Kickstart) used prominently by the Upper School Deans office
• Provide administrative support for communications to students and families

Summer Programs Responsibilities
• Provide general assistance in support of the summer program operation
• Provide general customer service support for summer programs by responding to email and phone inquiries promptly
• Answer questions from and assist students, parents, faculty, and staff while summer program is in operation
• Manage summer program registration and payment in the CampBrain database as well as general management of the CampBrain database

What we’re looking for:
• Experience in administrative support position
• General understanding of the college process and cycles
• Ability to manage multiple projects independently and seek help when necessary
• Ability to work in a busy office with multiple distractions and interruptions
• Ability and willingness to handle various office maintenance needs (e.g., coffee making, restocking office supplies, etc.)
• Experience and comfort providing general customer service
• Comfortable interacting with a variety of constituencies (e.g., students, parents, faculty & staff) and ability to empathize with parents, particularly when something isn’t going right
• Exceptional interpersonal skills and a desire to work closely with a team of colleagues who meet daily

Compensation: Anticipated base compensation is $70,000 – $90,000, depending on experience. The position will begin May 15, 2025.
