The Facilities Manager oversees the physical operation of the school. They manage the maintenance and cleaning programs to ensure that the school buildings and grounds are as safe, well-functioning, and attractive as possible. Reporting to the Business Manager, plans, directs, and administers the programs, operations and activities of the facilities department; oversees and directs long term and short term facilities planning based on an analysis of needs; oversees and directs the development of plans and specifications for construction, repair, and remodeling projects as well as service contracts; oversees, directs, and inspects the work of contractors and subcontractors for construction and maintenance projects; oversees and directs ongoing preventive maintenance, grounds keeping, and central receiving; and performs other related duties as assigned. They direct the work of one full-time Assistant Facilities Manager in the completion of these duties.

The Facilities Manager responsibilities alone would allow for a part-time (50% FTE) 12-month position.  It may be coupled with additional duties, specifically those of the Athletic Director, to increase this to a full-time, 12-month position.  See the Athletic Director position description for further details.

Primary Responsibilities:

  • Assist the Head of School, Business Manager, and Board of Trustees to plan and execute projects in accordance with the School’s budget and Conditional Use Permits
  • Work closely with the Business Manager to develop and follow a yearly budget, plan for long term maintenance expenses, and monitor contracted expenses in accordance with established limitations
  • Daily operational facilities oversight and campus maintenance year round
  • Logistics and execution for set up, take down and other logistical support planning or needs
  • Coordinate with administrative team for purchasing furniture and equipment related to the operation of the school
  • Oversee the work of all outside contractors to ensure compliance with contractual agreements and budgetary restrictions; inspect new construction, repair work, grounds, special projects, equipment, work orders, daily maintenance, and supplies for the purpose of ensuring that jobs are completed efficiently
  • Oversee all required environmental, health, safety and maintenance standards as required by law, and to work with the administration to ensure compliance with all regional, state and federal regulations and laws as they pertain to the school
  • Ensure and oversee industry safe and appropriate security best practices, with input from the Head of School and School’s internal Safety & Security committee, as concerns campus safety features and design, traffic flow and management, fire code compliance, department of social services compliance, alarm systems and public campus announcements systems, classroom safety and security equipment (fire extinguishers, air filtering and circulation devices, etc.)
  • Respond to a wide variety of facilities related inquiries from staff, School personnel, other community agencies, etc. for the purpose of resolving problems, providing information and/or referring to appropriate personnel
  • Answer after-hour emergency calls as needed
  • Serve as a member of the Facilities Committee of the Board of Trustees; prepare Board agenda items and briefings; follow up on Board issues as appropriate
  • Meet with insurance representatives for facilities reviews and inspections
  • Serve as point person with the City of Pasadena for mandated services
  • Keep up with applicable laws, codes, regulations, policies, and procedures affecting school business operations
  • Communicate with other administrators, and outside organizations to coordinate activities and programs
  • Perform other duties as assigned by the Business Manager or Head of School

Required Skills/Abilities:

  • Demonstrated safety record
  • Skilled at planning and executing construction and maintenance projects from conception through completion in accordance with established budgets and schedules
  • Knowledgeable of building systems such as plumbing, roofing, HVAC, electrical, fire suppression
  • General maintenance experience such as plumbing fixture repair and replacement, electrical lighting and wiring installation, carpentry including doors and hardware installation, carpet and vinyl tile repairs, painting and interior finishes
  • Excellent interpersonal, oral, and written communication skills
  • General understand and read blueprints and schematics drawings
  • Ability to think critically and solve problems, as well as handle multiple projects simultaneously
  • Good judgment and ability to handle confidential/sensitive information with discretion
  • Strong commitment to anti-racist and inclusive practices that support students of all backgrounds to succeed
  • Ability to self-reflect and demonstrate personal growth
  • Excellent communication skills with adults and children
  • Ability to collaborate and communicate with teachers, staff, parents, and students in a positive and constructive way
  • Proficient in Microsoft Office suite or related software as required for recordkeeping and documentation

Education and Experience:

  • Bachelor of Arts or higher
  • 2-5 years of construction or facilities management experience
  • Experience in an administrative role or with administrative duties

Physical requirements:

  • Regularly spend long hours sitting and using office equipment and computers
  • Must be able to stand, lift, push, pull stoop and bend for short periods of time
  • Ability to work on ladders and elevated scaffolding platforms to a height of 20 feet
  • Regularly work on repetitive tasks
  • Frequently bend to file and maintain files
  • Occasionally lift 15-45 pounds
  • Use excellent sensory skills -sight, hearing and speech
  • Ability to work in person and on campus
