Job Details

Position: Business Office Associate
Hours: Full Time
Reports to: Business Manager and HOS

Responsibilities:

  • Support various business office-related tasks assigned by the Business Manager.
  • Maintain an organized and up-to-date business office, including managing files, cabinets, and incoming mail.
  • Handle accounts payable tasks, such as opening and sorting bills, entering approved bills into QuickBooks, processing payments, and printing checks.
  • Ensure proper documentation and filing of checks and bills.
  • Assist with accounts receivable, including student/family account research, processing payments, and preparing deposits.
  • Work directly with the Business Manager to process payroll on a semi-monthly basis.
  • Maintain and process FACTS payment invoices for afterschool programs.
  • Prepare and manage annual tuition and fees spreadsheets, and perform monthly tuition reconciliation with FACTS.
  • Assist with monthly closings, audit preparation, and special departmental projects.
  • Interact with faculty, staff, students, parents, and visitors regularly.
  • Help keep track of supply inventory, place approved supply orders, and manage deliveries.
  • Support the Business Manager in credit card and budget item reconciliation.
  • Attend faculty and staff meetings as needed, sometimes after school.
  • Attend all DEIB professional development and support the school’s DEIB work.
  • Perform other duties or projects as assigned by the Business Manager or Head of School.
  • Embrace the school’s mission and vision
  • Assist with monthly closings, audit preparation, and special departmental projects.
  • Communicate often with administrators about all of the above.

    Qualifications:
    We are looking for a candidate with the following background and qualities or comparable experience:
  • Demonstrates confidentiality, professionalism, honesty, and integrity
  • Familiarity with Business systems
  • Knowledge of QuickBooks
  • Excellent written and oral communication skills
  • Accounting/Bookkeeping proficiency
  • Strong organizational abilities and ability to handle multiple tasks under time constraints
  • Familiarity with FACTS SIS/Tuition Management software is helpful but not required
  • Proficient in using Google Suite (Docs, Sheets, Slides, Gmail)
  • Proficient in using Excel
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent attention to detail for proofreading and data entry tasks – Ability to multitask and handle multiple projects simultaneouslyCompensation: The salary range for this position is 55k to 65k with benefits
