Description
The Administrative Assistant to the Middle School provides confidential, consistent, efficient, and professional support to the Director of Middle School and Middle School Dean of School Life. The Administrative Assistant provides support for all programs in the Middle School. The position will also assist with specific projects of critical importance as instructed by the Director of Middle School and Dean of School Life.
Essential duties and responsibilities include the following:
-Conveys a positive image of Sage Hill School at all times when working with students, parents, employees, and the public
-Acts as a liaison for the Director of Middle School with the school community, whether it’s in person, phone, or as written communication as applicable
-Assist the Director of Middle School and Dean of School Life with administrative tasks including but not limited to filing, scheduling appointments, mailings and maintaining student files
-Responsible for managing and maintaining the calendar for the Director of Middle School and Dean of School Life
-Responsible for administrative and logistic support with all School Life student programs including but not limited to: Advisory, Wellness Program, Academic Teams, Leadership Teams and Student-led clubs
-Coordinate all faculty candidate school visits in hiring process
-Proactively manage/record spending of the Middle school program budget through tracking and recording
-Assist the Upper School Program Assistant with the arrangement of Middle School substitutes
-Provide support in the planning and implementation of grade level retreats
Coordinate the logistics and administration of the Education Record Bureau (ERB) assessment
-Order and maintain the stocking of supplies for faculty work areas
-Accurate tracking of daily attendance, including collaboration with faculty for timely submission of attendance information and follow-up on unexcused absences and tardiness
-Administrative support for the faculty evaluation process
-Work with Registrar on preparing all school mailings
-Assist with preparation of various events including but not limited to 7th & 8th Grade Student Orientation, Back-to-School Night, Student Leadership Retreat, Parent Orientations and Open House
-Maintain the ordering and stocking of supplies for the Dean of School Life’s office
-Completes division specific registrar tasks as identified
-Assist with Camp Sage as needed
Manages the direct phone line at the Middle School. Answers parents’ calls and questions positively and professionally
-Provides meal and break relief for the receptionist
-All other duties and special projects as defined by the Director of Middle School

Qualifications
-Highly developed organizational skills, detail-oriented work style and the ability to juggle multiple tasks
-High School diploma required, 4-year degree preferred
-School experience preferred
-Competent with Microsoft products; Word, Excel and Power Point
-Competent with Google Drive
-The ability to learn and master the student records database
-Positive attitude and patience with students, parents, faculty, and administrators
-Strong writing and editing skills; good communication skills
This is a full-time non-exempt benefits eligible position.
Hourly rate range: $30 – $35 (rate is commensurate with experience)
