Reports To: Development Coordinator
Position Purpose: The Advancement Associate’s primary responsibilities are to support projects related to fundraising and community building in support of the Schools’ strategic goals and mission. In addition to daily responsibility for entering and acknowledging all gifts, assisting in account reconciliation, and producing reports as to the state of fundraising efforts, the Advancement Associate will assist with community engagement, special events, communications, marketing, and related activities. The qualified individual in this position will be actively engaged on a daily basis with all constituents of the schools, including current parents, alumni, parents of alumni, faculty, and staff.
Essential Functions:
● Record and acknowledge all gifts daily including cash, pledges, stock transfer, wires, and in-kind donations.
● Prepare and process acknowledgements in a timely manner.
● Provide required documentation to the Business Office for all gifts and pledges.
● Provide support for annual and special events, including but not limited to the Annual Auction Gala, Commencement, and all Alumni and Donor recognition events.
● For the Annual Gala event, build and maintain the auction event website to solicit donations and gifts.
● Provide ongoing support to the Advancement team for standard and custom reports in Raiser’s Edge on a timely basis.
● Support the overall management of the Raiser’s Edge database including updating constituent information, creating new records, and data cleanup.
● Support communications efforts and partner with Marketing and Communications colleagues to develop content for our social media presence and various email and direct mail marketing campaigns.
● Assist with the development of school-wide email communications and messaging; helping to write and edit content.
● Effectively work on account reconciliations with the Business Office and auditors.
● Ensure that all policies and procedures for effective data management are followed.
● Participate in key community events throughout the school year.
● Donor Relations: Duties Include but are not limited to:
o Maintain database files for all constituents and prospects, actively updating records and ensuring consistent formatting of all records.
o Design and export a wide range of constituent reports.
o Research, develop, and maintain office best practices for our use of Blackbaud.
o Manage acknowledgement letters, receipts, and other correspondence to ensure acknowledgement of gifts and parent support.
● Administrative Support: Duties Include but are not limited to:
o Assist in coordinating production and mailing of appeal letters, invitations, and other office mailings.
o Manage organizational details associated with the Advancement Office and volunteer meetings including the Family Association, Gala- Committee, and a myriad of smaller events during the year.
o Work within a timeline that effectively balances the Advancement Department campaigns, taking into consideration all on-going activities to maximize objectives.
o Help to create school forms and assist with the follow-up to ensure they are completed.
o Help to onboard new families within the K-12 Blackbaud LMS system and send forms for completion.
Additional Functions:
● Assist with COVID 19 on-site testing
● Assist with student lunch distribution
Required Qualifications:
● A Bachelor’s degree or the equivalent in work experience with demonstrated successful results is required.
● Minimum of two years of professional experience in an equivalent position or similar training and experience.
● Experience with BlackBaud or similar database. Ability to produce professional quality documents in Word, Excel, and PowerPoint.
● Excellent and professional interpersonal skills both in person and by phone.
● Ability to communicate effectively.
● Demonstrated ability to work independently with minimal direction and collaborate as part of a larger team.
● A proven ability to manage multiple projects and meet deadlines.
● Passionate about being part of team with a firm commitment to customer service and stewardship.
● Outstanding organizational skills and attention to detail. High standard of interpersonal, written, and verbal communication skills.
● Flexible, with a high tolerance for change, ambiguity, and a fast-paced environment.

Physical Demands and Work Environment:
● View and operate a computer frequently and consistently, especially in regard to primary work functions.
● Speak and hear to communicate effectively with school population and the public.
● Travel safely and comfortably across campus for a variety of events and meetings, often several times in a workday.
● Physically able to assist, when necessary, with event setup and breakdown, including lifting up to 30 lbs.
● Work in standard office conditions and climate. Work outside in weather conditions typical of the San Pedro area.
● Work in a highly stressful environment dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts.
