FLSA Classification:  Full-time – Non-Exempt, 100% FTE, 12-month schedule of duties

Reports To:               Business Office Manager

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • General Accounting:
    Maintaining books of account (including but not limited to processing bills, preparing checks, gathering receipts, coding and posting invoices, preparing and recording deposits, journal entries, reconciliations).
  • Reviewing all expense reports for accuracy and proper expense disclosure classification and reporting any variances to the Controller.
  • Completing monthly reconciliation for all bank accounts.
  • Reviewing outstanding check log and communicating status to Controller.
  • Research and resolve accounting discrepancies. Prepare adjusting and correcting journal entries as needed.
  • Maintains Fixed Asset Ledgers, capitalizing acquisitions, recording depreciation and disposals. Prepares fixed asset reports and posts entries to the general ledger.

Credit Card Processing/Accounts Payable:

  • Responsible for weekly accounts payable processing, including proper coding, data entry of all invoices and reimbursements, and mailing.
  • Coordinate and process credit card receipts from employees; follow-up as needed.
  • Prepare coding and data entry into general ledger.

Student Billing and Accounts Receivable:

  • Completing all student billing functions (tuition, summer programs, and fees for other services)
  • Assisting Controller with Financial Assistance process as needed.
  • Updating revenue and financial assistance accounts monthly,
  • Reviewing accounts receivable, updating payment schedules and follow up on past due accounts.
  • Point person for communication with parents.
  • Report on any student enrollment changes.

Coordinating with the Development Office:

  • Reconciling with Development Office on donations, fundraising and grants.

General/Reporting

  • Process semi-monthly payroll.
  • Assists in the design and/or implementation of accounting department projects.
  • Maintains the confidentiality of sensitive financial and other data.
  • Produces reports and reconciliations for review by the Controller.
  • Prepares all journal entries related to payroll and employee benefits.

Tax Reporting

  • Responsible for collection of W9 forms for all vendors.
  • Prepares annual 1099 filing.

General Responsibilities

  • Front desk coverage
  • Cover the front desk and other duties as assigned.

Other Considerations

  • Start date: as soon as possible.
  • Compensation: $62,0000 – $70,000 per year.

EDUCATION AND EXPERIENCE:

  • Bachelors’ Degree, preferably in Accounting or Finance.
  • Minimum of three years’ experience in bookkeeping and/or accounting and finance
  • Non-Profit/Independent School sector experience preferable.
  • Understanding of accounting theory with ability to research and resolve accounting application.
  • Requires solid knowledge and understanding of accounting principles.
  • Highly detail oriented, well-organized, flexible, and collaborative individual who enjoys working in a team-driven environment.
  • Able to multitask in a fast paced, deadline driven environment, while always maintaining a customer service focus.
  • Common sense, professional decorum, and clear and concise communication skills are critical due to regular interaction with parents, faculty, administrators, and business partners.
  • Experience in Blackbaud preferred.
  • Expert level in Microsoft Office, especially Excel and Word.
  • Proficient in Google applications, including Google Sheets, Google Docs.
  • Experience in non-profit accounting and knowledge of related FASB requirements preferred.
  • Knowledge of non-profit reporting and tax filings preferred.
  • Physical Demands and Work Environment
  • View and operate a computer frequently and consistently, especially in regard to primary work functions.
  • Speak and hear to communicate with school population and the public.
  • Travel safely and comfortably across campus for a variety of events and meetings.
  • Physically able to assist, when necessary, with event setup and breakdown, including lifting up to 30 lbs.
  • Work in standard office conditions and climate.
  • Work in a highly stressful environment dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts.
