Position Overview:

The Admissions and College Counseling Assistant is a full-time position that supports the Admissions and College Counseling Offices. The position is a highly visible role and works closely with colleagues within the School community primarily in support of the admissions process. The position also provides administrative support to the College Counseling Office on matters relating to the college placement process, in addition to providing general support with respect to School-wide matters.

 

Qualified candidates must be service-oriented and possess strong interpersonal and communication skills, as they serve a variety of constituents, including applicant/current parents and students, volunteers, faculty, and staff. Qualified candidates must also exhibit an ability to be flexible and multi-task in an evolving and face-paced environment.

Essential Job Functions:
Admissions (75%)

●     Creates a warm and welcoming environment by serving as the first point of contact within the Admission Office and ensuring that the application process is a positive experience for students and their families

●     Maintains working, up-to-date knowledge of Marlborough School and its admissions process

●     Fields inquiry calls and manages the Admission Office’s email account

●     Assists with supporting all admissions events and coordinates the registration process for each event

●     Supports the Director of Enrollment Management and College Partnerships as well as the Senior Associate Director of Admissions by distributing agendas, maintaining calendars, and taking accurate and timely notes during team meetings

●     Coordinates and prepares all admissions office mailings

●     Anticipates and orders supplies for the office and all admissions-related events

●     Completes and submits check reimbursement requests and other expense items to the Business Office

●     Coordinates interview process for Grades 9 -11 and international/out-of-state applicants

●     Supports the Director of Enrollment Management and College Partnerships as well as the Senior Associate Director of Admissions during the reading of the admissions files by ensuring all files are complete, organized, and legible

●     Serves as the liaison between Community Based Organizations (CBO’s) including Young Eisner Scholars (YES), The Alliance, A Better Chance (ABC), and Independent School AXIS

●     Prepares and secures materials for all admission events including Open House, Group Activity Sessions (GAS), and Mornings at Marlborough

●     Scans and organizes writing samples for Group Activity Sessions and Interviews as they are completed

●     Creates reading list/book for Director of Enrollment Management and College Partnerships and Senior Associate Director of Admissions

●     Assists the Senior Associate Director of Admissions with preparation and training of Violet Key Ambassadors

●     In conjunction with the Advancement Office, provides support for the New Family Picnic

●     Manages online applications through our admission collection database, and oversees applicant data

●     Maintains all records, files and databases pertaining to inquiries, applications, offers of admission, waiting pools, enrollment of new students, yields and other statistics as directed

●     Updates, maintains and cleans database as necessary

●     Performs other duties as assigned

College Counseling (20%)

●     Greets and host college representatives visiting Marlborough in the Fall

●     Provides administrative support to the College Counseling Office and Database Coordinator position as needed

●     Assists in the management of the Naviance student database system

●     Assists in the coordination and administration of Advanced Placement exams

●     Prepares and distributes materials for students and their families for the annual Case Study program

●     Supports the Services for Students with Disabilities (SSD) Coordinator with students who are eligible for extended test time

●     Updates and maintains MyMarlborough on behalf of the College Counseling Deans

Other (5%)

●     Serves as a member of the Support Staff and provides general administrative support as needed, including front desk support, mail distribution, Summer School program support (during the summer), and other School-wide duties

Qualifications:
●     Bachelor’s degree or equivalent required

●     Minimum 3-5 years of work experience in an administrative role or related capacity

●     Strong technical skills, including general knowledge of word processing and spreadsheet applications

●     Proficiency in Google Workspace applications (Gmail, Google Docs, etc.), Microsoft Office, Adobe, and other software platforms preferred

●     Strong aptitude to learn new software programs as needed

●     Highly organized and thorough with an ability to demonstrate success both independently and in groups, within a face-paced environment that often requires juggling multiple priorities

●     Highly collaborative and comfortable working within a team environment

●     Excellent communication and interpersonal skills; resourceful problem solver; high level of discretion and proven record of maintaining confidentiality and sound judgment

●     Excellent written and verbal communication skills

●     Willingness to actively participate in School activities, including attending student and employee events as needed

●     Interest and willingness to pursue professional development opportunities to meet evolving needs of the School
