High School Administrative Assistant

Campbell Hall, founded in 1944 and situated on a 15-acre campus in Studio City, California, is an independent, all-gender, college preparatory, Episcopal day school for students in kindergarten through grade 12.

Position Description

The administrative assistant is a 12-month, non-exempt position that reports directly to the high school principal. The administrative assistant works collaboratively with other high school office staff to ensure the smooth running of the office, which includes attendance, communications, calendar, and events as well as other support services.

Responsibilities:

Attendance

Monitors daily attendance; verifies teachers have taken attendance each block
Fields phone calls and emails regarding student absences
Issues gate passes and late passes to students
Distributes to grade-level dean and High School Assistant Principal medical notes
Makes phone calls to parents regarding students with unverified absences
Prints attendance each block and monitors free block sign in

Communications

Schedules appointments for High School Principal for parents, students, and faculty
Assists with office communications to various constituent groups
Assists families and students with requests for information and identifies/directs to appropriate faculty/staff
Prepares and sends daily High School Bulletin

Calendar

Reserves facilities for division and new faculty meetings, arranges food
Creates and distributes deans’ meeting schedule; adds meetings to master calendar
Schedules faculty observations and “drop-ins” for High School Principal and Assistant Principal
Schedules department chair meetings

Events

Coordinates Senior Orientation with Twelfth Grade Dean
Coordinates New Student Orientation with principal/AP
Coordinates Back-to-School-Night with High School Administration
Assists Twelfth Grade Dean and High School Chaplain with Senior Key Chapel
Orders flowers for Parent Appreciation Chapel
Provides support for Graduation ceremony with Advancement
Provides support for Baccalaureate Service with High School Chaplain and Twelfth Grade Dean

Support

Provides support to High School Principal and Assistant Principal with daily running of the office
Provides support for summer school programs as needed
Assists in cleaning of cumulative student files in June
Prepares faculty birthday cards for principal
Reconciles principal’s calendar with master calendar
Maintains office bulletin board updated with current teacher/room charts and current day’s bulletin
Orders office supplies and other items
Cross-training on duties of office team
Other duties as assigned

Required qualifications:

Highly organized and detail-oriented
Well-developed interpersonal skills to establish and maintain professional, supportive, and welcoming relationships and interact with individuals from a range of backgrounds
Patience and creativity when working collaboratively with a range of constituent groups including students, families, faculty, staff and administration
Proficiency with technology, fluency in Google Suite, MS Word, and Excel desired
Flexibility and adaptability in balancing multiple priorities in a complex environment
Ability to maintain confidentiality and privacy and demonstrate discretion at all times
Articulate in oral and written communication with excellent proofreading and organizational skills
Ability to work independently and follow through on assignments with minimal direction
